Trilogy Sound Studio – Terms of Service

1. Acceptance of Terms

By accessing or using Trilogy Sound Studio services, including booking studio time, subscribing to a membership, or participating in any of our programs or events, you agree to be bound by these Terms of Service. If you do not agree, please do not use our services.

2. Overview of Services

Trilogy Sound Studio provides:

  • Professional recording, mixing, mastering, and production services

  • Membership-based studio access

  • MPACE educational programming and licensing

  • Event space for Open Mic Nights, workshops, and community engagement

  • Studio consultations and private instruction

All bookings are handled via third-party software hosted by Sonido (https://mysonido.com).

3. Booking & Payments

  • All payments are processed securely via third-party systems such as Stripe and QuickBooks. We also accept PayPal, CashApp, and Cash.

  • Bookings must be made in advance through our approved platforms.

  • Full payment is required for bookings under $1,000. For bookings above $1,000, a 50% deposit is required, with the balance due before the session begins.

  • Payments must be made within 24 hours of receiving the invoice to secure your session. Unpaid sessions may be canceled.

  • Sessions are booked with a 2-hour minimum. Additional time is billed in 30-minute increments, subject to availability.

  • Studio time begins at the scheduled start time, not arrival time. Be punctual.

  • Time includes setup, breakdown, and file rendering.

  • Files will not be released to clients until full payment is received.

4. Membership Terms

  • Memberships are billed on the 1st of each month.

  • Cancellations must be made by emailing team@trilogysoundstudio.com or calling 571-521-2021 at least 30 days in advance.

  • Early termination is subject to a $100 cancellation fee.

  • All membership sales are final.

5. Refund Policy

  • Studio Bookings: Refundable only if canceled 24+ hours before the scheduled time.

  • No refunds for missed sessions or same-day cancellations.

  • MPACE Programs and Memberships: All sales are final. No refunds are offered.

  • Studio tours or consultations must be canceled/rescheduled at least 24 hours in advance. Failure to do so will incur a $50 no-show fee. A valid credit card is required to reserve these appointments.

6. User Conduct & Studio Guidelines

To maintain a safe and professional environment:

  • No smoking, vaping, or weapons are permitted on studio premises.

  • Clients must be respectful of others’ sessions and time.

  • Disruptive, disrespectful, or unsafe behavior may result in removal from the premises and/or permanent suspension from Trilogy Sound Studio services.

  • We reserve the right to refuse service to anyone at any time for any reason.

  • Clients must collect all files and belongings before leaving the studio.

  • Clients appearing excessively under the influence may have their session canceled without refund.

  • We are a dog-friendly facility. Dogs must be hypoallergenic or registered service animals, leashed at all times, and remain in the booked studio room. Notify us 24 hours in advance if a dog will be present.

7. Intellectual Property & Content Ownership

  • All artists and clients retain full ownership of their music and recorded materials.

  • Trilogy Sound Studio does not use or share client content without prior written consent.

  • All recorded material remains the property of Trilogy Sound Studio until payment is made in full.

  • Clients are encouraged to bring an external drive or back up files to their cloud storage before leaving. Trilogy Sound Studio retains projects for up to one week following the final session. After that, data may be deleted.

  • We are not liable for lost or damaged files or property.

  • Music video projects and any media collaborations require a signed release form.

8. Privacy & Data Use

  • We collect names, emails, phone numbers, and payment details for business and customer service purposes.

  • Data is never sold or shared with third parties.

  • We utilize third-party platforms such as Sonido, Mailchimp, Pipedrive, Stripe, Meta, and Google.

  • Use of these tools may result in limited tracking or data processing in accordance with their individual privacy policies.

  • By making a payment, you authorize Trilogy Sound Studio to charge your card. Fraudulent transactions will result in the forfeiture of all rights to audio materials.

  • By submitting your email, you may be added to our mailing list. You can opt out using the link in any promotional message.

9. SMS Communications

  • Consent & Data Use: The phone numbers collected for SMS communication will not be shared with third parties or affiliates for marketing purposes.

  • Types of Messages: By opting in, you may receive SMS communications regarding:

    • Appointment reminders

    • Booking confirmations

    • Studio closures or urgent updates

    • Billing or account status

  • Message Frequency: You may receive up to 2 SMS messages per week related to your account or bookings.

  • Message & Data Rates: Standard message and data rates may apply as determined by your mobile carrier.

  • Opt-In Methods: You may consent to SMS communications by:

    • Submitting an online form

    • Verbally, during a consultation or booking call

    • Filling out a written intake or registration form

  • Standard Messaging Disclosures:

    • Opt-Out: To opt out, reply STOP to any Trilogy message. To opt back in, reply START.

    • Help: For assistance, reply HELP to the number you received messages from, or contact us at team@trilogysoundstudio.com or 571-521-2021.

    • Message and data rates may apply.

10. Termination of Access

Trilogy reserves the right to suspend or terminate any client or member access due to violations of these Terms, non-payment, or inappropriate conduct.

11. Governing Law

These Terms shall be governed and enforced in accordance with the laws of the Commonwealth of Virginia, specifically under the jurisdiction of the courts located in Fairfax County, VA.
